BUYING CHECKLIST

What should decide your expense-management tool?

Choose around the workflow you actually need to remove, not around the longest feature list.

Receipt capture

Check OCR quality, mobile capture, email forwarding and whether documents arrive in accounting with the right metadata.

Accounting integration

If you use Merit, SimplBooks or another local ledger, verify whether the connection is direct or relies on manual export/import.

Cards & reimbursements

Do not pay for a card-heavy platform if you only need receipt capture. If employees spend frequently, card controls and reimbursements can be the main value.

Approval workflow

For larger teams, check approval rules, cost centres, project coding and who can review or reject expenses before they reach accounting.

International use

For multi-country teams, compare supported entities, currencies, employee reimbursements and cross-border card availability.

Total cost

Compare per-user, per-card and per-document fees together. The cheapest headline plan is not always the cheapest real workflow.

DECISION GUIDE

Which expense workflow fits your company?

Start from the operational problem you want to remove.

Mainly receipt capture

Start with: CostPocket or Envoice when collecting and digitising documents is the core need.

Cards + spend control

Consider: Payhawk, Zevoy or Spendbase when employee cards, limits and approvals matter alongside expense capture.

International finance stack

Consider: Airwallex or another global spend platform when cards, bills, currencies and cross-border payments need to live together.

FAQ

Questions that affect the choice

Can I integrate these tools with Estonian accounting software?+

Some tools integrate directly with local accounting systems while others export documents or accounting data. If you already use Merit Aktiva or SimplBooks, verify the exact connection before buying — the integration can matter more than the OCR feature list.

Do I need corporate cards?+

No. CostPocket and Envoice can be useful without replacing your bank cards. Card-led platforms such as Payhawk or Zevoy make more sense when you also need employee card controls, limits and real-time spend visibility.

What is usually enough for a small Estonian company?+

If only one or two people submit expenses, start with a simple document-capture workflow that your accountant already supports. Add cards, multi-step approvals and procurement controls only when the operational complexity justifies them.
